To request our any of our services, complete MultiMedia Services' online form.  MultiMedia Services reserves the right to reject any requests not received within the minimun notification periods as listed in the sections below.

All services and equipment are provided for ON CAMPUS USE ONLY.

MultiMedia Services delivers audio-visual equipment to:
  • Darrin Communication Center (DCC)
  • Johnson Rowland Science Center (SC)
  • Jonsson Engineering Center (JEC)
  • Center for Industrial Innovation (CII)
  • Russell Sage Dining Hall (RSDH)
  • Russell Sage Lab (RSL)


Equipment for use in non-delivery, campus locations is to be signed out and picked up from DCC 150 during normal, weekday business hours.

 

 


Courses


  • No charge is assessed for the use of installed or supplemental audio/visual equipment for a credit bearing course listed on the Registrar's Class Hour Schedule during the active semester period.
  • Supplemental audio/visual equipment must be reserved at least two weeks prior to the start of the first day of classess on-campus. Any requests received after the required due date are processed in the order in which they are received.
  • Faculty unfamiliar with the installed equipment, may call x8282 to schedule a "Meet and Greet" with one of our techs for training on the classroom equipment at least two weeks prior to the first day classes begin on-campus.
Recorded Courses
  • Studio production recordings
    • Are scheduled based on the availability of the studio classroom and staff resources.
    • To record a full semester of lectures, faculty must submit their request by the following deadlines:
      • Fall Courses - April 30th
      • Spring and Summer Courses - October 30th
    • To record only one or two lectures, a request must be received no later than two weeks prior to the scheduled posting date.
    • Faculty are required to attend a Production Planning Meeting .
  • With the addtion of the User Generated Content module to Rensselaer's video streaming tool, faculty now have the option to do an on-demand video stream recording of their own lecture content for posting to their course LMS site. Orientation and training sessions are held twice a year on the streaming tool. If you would like to be notified of the next scheduled training date, contact smithe2@rpi.edu.
  • Faculty have the option to do a live or on-demand web conference recording of their lecture to post to their course LMS site. Orientation and training sessions are held twice a year for Rensselaer's web conferencing tool, Adobe Connect. If you would like to be notified of the next scheduled training date, contact smithe2@rpi.edu.

 

Events


  • ALL reservations must be submitted no later than two weeks prior to the event date.
  • Final agenda and stage layout must be on file with MultiMedia Services two weeks prior to the event date.
  • The requestor is responsible for reserving the event facility and must include additional time for equipment setup and breakdown when making the reservation.
  • For multi-day events, the requestor is responsible for ensuring facility security .
Recorded Events
  • To determine if the event is hosted in a location where it can be recorded, please contact mediaops@rpi.edu prior to submitting your online request form.
  • A Production Planning Meeting is required and will be scheduled once your request is received..
  • It is the requestor's responsibility to obtain a Video Release form for each non-Rensselaer presenter. The customer must retain the original signed form(s)in your department and provide, in writing, a confirmation to MultiMedia Services that you have received the required video releases to record the event within 48 business hours prior to the recording date.

Clubs

Union Funded

A mutimedia request form must be submiltted for use of any audio-visusal equipment. Room equipment may be under repair or on a control system. Your audio-visual request will ensure the equipment is accessible and checked out by our staff and ready for use a.

    Club Meetings
    • Equipment is provided at no charge.  Labor is chargeable. Include the name of the union funded club when submitting your audio-visual needs for the room.

    Club Activities (ie., non-meeting/Events)
    • Equipment and labor is chargeable. To request a waiver of fees, you must mail a copy of the event annouhcement (ie., a URL or PDF) to mediaops@rpi.edu
Non-union Funded

    ALL Club Meetings and Activities
    • Equipment and labor is chargeable.

    Club Activities (ie., non-meeting/Events)
    • Equipment and labor is chargeable. To request a waiver of fees, you must mail a copy of the event annouhcement (ie., a URL or PDF) to mediaops@rpi.edu

How to Complete the MultiMedia Request Form

  • All clubs are required to reserve installed or portable audio-visual equipment through the online MultMedia Request form. Submission must be received two weeks prior to the meeting or event and must include the following information:

    • Opening Page:  Select "Event" for all club activities.
    • Event Information:
      - Title:  Include the actual title of the event or Weekly/Monthly Meeting.
      - What type of event is this:  Select "Other" and include the name of your club.
    • Billing Information: 
      - Budget:  Will be "0" for Union funded club meetings only. All others, fill in the budgeted amount.
      - How will you be paying:  Select "Cash or Check" for Union funded club meetings only. All others, select "RPI Account" and provide the FOAPAL information provided to you by your SARP or faculty advisor.
    • Additional Comments:  Include name of SARP or faculty advisor with any additional comments.
    • Fill out the form in its entirety and review the information for accuracy before hitting the "Submit" button.  

      WARNING:    If you do not receive an email copy of the request, the "Submit" button was not pushed. You must resubmit!

 

 

Video Piece


MultiMedia Services will work your department to storyboard, script, produce and edit your marketing, promotional or research videos.
  • All requests must be submitted no later than three months prior to the deadline for use.

  • Customer is responsible for assigning a project liaison to work with the video producer. The project liaison's additional responsiblities include:
    • Coordinate the planning and execution of each project element
    • Work with other Rensselaer service groups in support of the project tasks
    • Facilitate the approval process with departmental decision maker.
    • Obtain video releases from talent used in the production of the video piece.
      NOTE: The original signed Video Release forms must be retained by the department and provide, in writing, a confirmation to MultiMedia services that you have received received the required video releases to record the piece within 48 business hours prior to the first shoot date.
