Production and Video Services - Policies

The following is Production and Video Services (PVS) policy for requesting our services in the creation of video and multimedia content.
  • To initiate a project, you must complete our online Project Request Form defining the scope of the project.

  • Projects are to be requested within the minimum time requirements listed below. PVS reserves the right to reject any projects that don't provide the required advance notifications.

    1. Video     - 2 months advance notification
    2. Events   - 1 month advance notification
    3. Courses - 3 months advance notification (NOTE: All requests to record a course lecture will be approved based on the availability of a studio classroom and crew.)


  • Once a request is submitted, the contracting department will be notified of the project number and producer assigned to the project. All inquiries are to reference the project number and title.

  • All non-course related requests are billable. No charges are assessed for requests submitted in support of an officially scheduled course of Rensselaer which is not associated with any funded project or grant.

  • Quotes estimating the cost for the project will be provided upon request. Invoices will reflect actual charges incurred.

  • All customers will incur a 17% handling fee for services provided by outside contractors or vendors in support of a project request.

  • The contracting department must assign a representative to act as the project liaison. Responsibilities include:

    1. Coordinate the approval process with the department's decision makers.
      NOTE:   The faculty is the project liaison for all course projects.


    2. Obtain a signed Video Release form for each individual requested by the contracting department to be included in the video prior to recording any footage.

Media Operations - Policies and Fee Schedule

Reserve equipment in advance to ensure its availability.

We occasionally remove unreserved equipment from classrooms for upgrade, repair or use in another location.

Equipment Use

  • You must contact Media Operations directly to reserve equipment. Please note: Scheduling a room with the Registrar does not automatically grant use of any installed audiovisual equipment.

  • Equipment is for use ON CAMPUS ONLY. We do not provide service or equipment equipment to locations off campus, nor do we allow equipment to be taken off campus.

  • Reservations
    • Class Use - Weekdays
      • Must be made at least two business days in advance
    • Other than Class Use - Weekdays
      • Require at least three weeks advance notice

  • Media Operations will deliver equipment to the following campus locations:
    • Darrin Communications Center (DCC)
    • Jonsson Rowland Science Center
    • Jonsson Engineering Center (JEC)
    • Low Center - CII
    • Russell Sage Dining Hall
    • Russell Sage Lab
    • Carnegie Building - TV/VCR Carts, first floor only

  • Equipment reserved for use at any campus location not listed above may be picked up in DCC 150.

Fee Schedule

  • There are two equipment fee schedules: Classroom and Non-Classroom.
    • Classroom: class is listed in the Registrar's Master Class Schedule with date, time and course number
      • equipment is provided at no charge
    • Non-Classroom: any event not listed in the Registrar's Master Class Schedule
  • Labor charges may be applicable in some cases.
    • Regular hours: 8am - 5pm, Monday through Friday - $21 per hour
    • Outside regular hours - $39 per hour

  • Late Fees
    • Reservations
      • A $15 charge per line item will be added to reservations made less than 48 hours in advance of desired use.
      • In some cases we will be unable to process reservations made with less than 48 hours notice.
    • Late Returns
      • Additional daily rental fees and a $15 per day, per item late charge will be incurred in the event that equipment is returned late.

Technical Services - Fees

Video Conferencing Fee - $55 per hour

  • Includes:
    • Video Conferencing Unit (IP&ISDN capable)
    • 1 camera
    • 1 microphone
    • path to get it to the CATV headend
  • What's not included:
    • Set up & breakdown
    • Permanent Staff in Host location
    • Any othe gear no specified
  • Other Possible Charges:
    • IP Call: No per minute charge
    • ISDN: Cost of call. This charge is about 1 month behind everything else as I need to wait for the phone bill.
  • Options:
    • Additional Video Display
      This is needed to view near and far side of call when two projectors are not available in host room.
    • Additional Microphones
    • Any othe gear no specified
    • Audio Board
    • Staff to operate camera(s)
    • Remote Control (Camera positioning and some audio control)

Fee Schedules

There are two Machine Shop Fee Rates: Internal research and Outside work.
  • Internal Research: Any work to be charged to an RPI research account#
    • $27.00 an hour
  • Outside Work:Any work done for a non-RPI individual or school
    • $40.00 an hour
